We are looking for an experienced Senior Executive Assistant/Admin assistant to support the Department of Homeland Security (DHS)'s Mission Capability Support Program. This office executes Research, Development, Test, and Evaluation to transition technology, knowledge products, and solutions to DHS Component customers and first responders.
The Administrative Assistant will perform administrative duties in support of SES’s and GS-15s for DHS, such as writing memos, filing, typing, and copying documents. The Administrative Assistant will develop spreadsheets, maintain program, project, and task files, and technical support information for program and project managers. They will Organize and maintain calendars for one or more managers, schedule meetings, take meeting notes and distribute them to attendees. They will Prepare correspondence, briefs, and reports and assist with planning, initiation, and tracking of task assignments and associated data. the Administrative Assistant will help prepare and process travel and maintain travel requests and records. They will Distribute and monitor taskings, data calls, and coordinate troubleshooting requests
Duties:
- Provide administrative support to SES’s and GS-15s
- Create and maintain task trackers and program artifacts
- Support the office with the development of guidance, procedures, and/or policies relative to facilitating administrative activities of the organization
- These functions may include training/travel budgets, suspense systems, space planning, personnel management, record management, logistics support, asset tracking, etc
- Assist subordinate administrative assistants on new procedures; request information needed from the subordinate offices for periodic or special conference, reports, inquiries, etc
- Support administrative requirements at the mid- to upper management levels of an office
- Maintain executive calendars in Microsoft Outlook to include scheduling meetings as requested, sending meeting invites to requested attendees, reserving conference rooms, setting up Video Teleconference (VTC) or WebEx connections, deconflicting meetings, and prioritizing meetings based on executive priorities
- Independently anticipate and provide responsive administrative support to facilitate completion of all organizational mission requirements
- Execute a broad range of administrative responsibilities with some tasks occurring routinely and/or on an “ad hoc” basis per real-time needs of the office
Requirements:
- Must be able to come into the DC DHS office as needed
- Must have a bachelor’s degree and 7 years of administrative experience
- Must have an active DoD Secret clearance
- Strong working knowledge of Microsoft Office applications including managing calendars in Outlook and responding to emails; building/updating PowerPoint briefs, Excel files, and Word documents are required
- Must be able to work within an organization’s chain of command and interact appropriately with individuals at all levels, including those at very senior levels
- Strong teaming and collaboration skills that foster office unity and cohesiveness in support of completing office administrative requirements are required
- Must be capable of independently handling a large, complex workload, effectively coordinating multiple resources and multi-tasking in a fast-paced environment with competing priorities
- Must be able to produce professionally written work product that is succinct, coherent, uses proper tone, demonstrates proper grammatical use of the English language, and presents proper format/form per established guidelines.
